Wedding planning involves sharing plenty of personal details. Bon’s Wedding Club respects your privacy and takes care with the information you trust us with.
This policy explains how Bon’s Wedding Club (“we”, “us” or “our”) collects, holds, uses and shares personal information when you:
visit bonsweddingclub.com;
contact or enquire with us;
book or receive our services;
work with us as a venue, supplier or contractor; or
submit information through a wedding website, onboarding form or RSVP form managed by us.
We handle personal information in accordance with this policy and, where applicable, the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What information we may collect
The information we collect depends on how you interact with us and may include:
your name, email address, phone number and address;
your partner’s name and contact details;
your wedding date, venue, guest numbers, budget, plans, preferences and styling ideas;
information included in emails, enquiry forms, questionnaires, contracts and other communications;
booking, invoice, payment status and transaction information;
information about venues, suppliers and other people involved in your wedding;
photographs, videos, reviews or testimonials provided with your permission;
marketing preferences; and
technical website information, including your IP address, browser, device, pages viewed, approximate location, referring website and interactions with our website.
If we manage a wedding website or RSVP process, we may also collect guest information such as:
names and contact details;
attendance and plus-one details;
meal choices and dietary requirements;
allergies, accessibility or mobility requirements;
accommodation and transport information;
details about children attending; and
any other information reasonably needed to help plan and coordinate the wedding.
Some of this information, including health, allergy or accessibility information, may be considered sensitive information. We only collect it when it is reasonably necessary and with the person’s consent, including where they voluntarily provide it through an RSVP or planning form.
How we collect information
We may collect personal information:
directly from you through our website, email, phone, social media, meetings and forms;
from your partner, a wedding guest, venue, supplier or another person involved in your wedding;
from a couple where we are managing their wedding website or guest RSVPs;
through referrals or publicly available sources; and
automatically through Squarespace, cookies, analytics and similar website technologies.
You can browse our website without identifying yourself. However, we will need certain details if you want us to respond to an enquiry, provide a quote, confirm availability or deliver our services.
If you give us personal information about someone else, please make sure you have their permission or another appropriate reason to share it and that they are aware of this policy.
How we use personal information
We may use personal information to:
respond to enquiries and check availability;
prepare quotes, proposals, contracts and invoices;
provide wedding planning, coordination, styling, hire and website services;
create and manage wedding websites and RSVP forms;
coordinate guests, venues, suppliers, accommodation and transport;
communicate with clients, guests and suppliers;
process bookings and payments;
manage our business, records and legal obligations;
maintain, secure and improve our website and services;
understand how visitors use our website;
resolve questions, complaints or disputes; and
send updates or marketing where you have consented or where otherwise permitted by law.
Guest and RSVP information collected for a particular wedding will only be used to help manage that wedding and provide the related services. We will not add wedding guests to our own marketing list unless they separately choose to subscribe.
When we may share information
We may share personal information where reasonably necessary with:
the couple whose wedding we are planning or managing;
venues, caterers, accommodation providers, transport providers and other wedding suppliers;
contractors or assistants helping us provide the booked services;
website hosting, email, cloud storage, invoicing, payment and business software providers;
accountants, insurers, lawyers and other professional advisers;
government agencies, regulators or law enforcement where required or authorised by law; and
another party where you have asked or authorised us to share the information.
For example, dietary or accessibility information may be shared with the couple, venue, caterer or another relevant supplier so they can make the necessary arrangements.
We do not sell or rent personal information.
Overseas storage and processing
Some of the third-party services we use operate globally. This includes Squarespace, which hosts our website, and Google, which provides email and other business services.
These providers may store or process information outside Australia, including in the United States and other countries where they or their service providers operate. Privacy laws in those countries may differ from Australian privacy laws.
Where required, we take reasonable steps to work with reputable providers and protect personal information handled outside Australia.
Cookies and website analytics
Our website is hosted by Squarespace and uses cookies and similar technologies.
These may include:
cookies required for the website to operate securely;
analytics and performance cookies that help us understand website visits and interactions; and
cookies used by embedded or connected third-party services.
You can manage available cookie choices through our website’s cookie banner or through your browser settings. Blocking some cookies may affect how parts of the website work.
Marketing communications
We may send marketing emails or messages where you have consented to receive them or where otherwise permitted by law.
You can unsubscribe at any time using the link or instructions in the message, or by contacting us. Unsubscribing from marketing will not prevent us from sending information that is necessary for an active enquiry, booking or wedding.
Photographs, videos and testimonials
We may receive or capture photographs and videos while providing wedding services.
We will only use identifiable images, reviews or testimonials to promote Bon’s Wedding Club where this is permitted under our agreement with you or you have otherwise given permission.
Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
Information may be stored in password-protected email accounts, cloud-based systems, business software and physical records. Access is limited to the people who reasonably need it to provide our services or operate the business.
While we take reasonable precautions, no online service or storage system can be guaranteed to be completely secure.
How long we keep information
We keep personal information for as long as reasonably necessary to:
provide our services;
manage bookings and business records;
meet accounting, insurance and legal requirements; and
handle any questions, complaints or disputes.
When information is no longer required, we take reasonable steps to delete, destroy or de-identify it.
Accessing or correcting your information
You can contact us to:
ask what personal information we hold about you;
request access to that information;
ask us to correct inaccurate or outdated information; or
request deletion where we are not required to retain it.
We may need to confirm your identity before completing a request. In some circumstances, the law may allow or require us to retain information or decline access.
Privacy concerns and complaints
If you have a question or concern about how we have handled your information, please contact us using the details below.
Include enough information for us to understand and investigate the issue. We will acknowledge your complaint, review what happened and aim to respond within 30 days.
If you are not satisfied with our response and the Privacy Act applies, you may contact the Office of the Australian Information Commissioner through oaic.gov.au or by calling 1300 363 992.
Third-party websites
Our website may link to venues, suppliers, social media platforms or other third-party websites. We are not responsible for their privacy practices, and you should review their privacy policies before providing personal information.
Changes to this policy
We may update this policy when our services, systems or legal obligations change. The latest version will be published on our website with the updated date.
